Format excel

To ensure your data is processed correctly by the R3MScore platform, your Excel file must follow a precise format. Incorrect formatting will prevent your project from being read and analyzed.

Essential formatting rules

Follow these steps and guidelines to prepare your Excel file:

1. Column order & content

ColumnContentRequirements
AParticipant Identifier (ID)Numeric only. No letters. Each participant/stimulus pair must be unique.
BWeightingNumeric only (>0). Use a point or comma for decimals. Default is 1.
CStimulus IdentifierShort, explicit description (e.g., "New packaging"). This will be the name on dashboard cards.
D–F3 Words (from R3M question)1 word or group (max 5 words/40 characters per cell). No sentences. No repeated/false words.
G–ATFilters (optional, up to 40 columns)Numeric or text. Use clear, explicit titles (e.g., "Gender" not "Q8"). Fill empty cells with "NA".

2. File structure & cleanliness

  • Only one tab: The file must have a single worksheet (tab).
  • No hidden columns: All columns should be visible and sequential. Do not just hide unused columns—remove them.
  • No empty cells: Except in the 3 words columns (D–F), all data and headers must be filled.
  • No extra tabs: Remove any additional tabs at the bottom of your Excel file.
  • Recent Excel version: Do not use Excel 97/2003 format.

3. Data integrity

  • Unique IDs: The combination of participant and stimulus identifiers must be unique for every row.
  • Valid entries: False words (e.g., "asdf", "idk") and rows where the same word is repeated three times will be automatically removed.
  • Consistent filters: For barometer studies, make sure filter columns match between files.

4. Filters

  • You can include up to 40 filter columns (G–AT), such as demographics or product attributes.
  • Use explicit, descriptive column titles and value labels (e.g., "Male/Female" not "1/2").
  • If a filter does not apply to a participant, write "NA".

5. Download a sample

A pre-formatted sample file can be downloaded here (Download Sample File) or from the Data tab of your project on the platform.

Quick reference

  • One Excel tab, no hidden columns or extra tabs
  • Columns A–F filled and in correct order
  • No empty cells (except in D–F)
  • Clear, descriptive column titles and values
  • All filter columns filled or marked as "NA"
  • Data saved in a recent Excel format
